What goes into an embroidery price?
An embroidery quote is built from a short list of costs. Some are per piece, some are paid once for the whole job:
- The garment. What you pay for the blank, plus your markup. If the customer supplies the garments there is no garment line, but there is risk, which the contract embroidery pricing guide covers.
- Machine time. Stitch count divided by your machine speed, plus trims, color changes, hooping and loading. This is the part most shops underestimate.
- Thread and stabilizer. Small per piece, real across an order. Madeira puts thread use at about 5 m of top thread and 3 to 3.5 m of bobbin thread per 1,000 standard-length stitches.
- Digitizing and setup. Paid once per design, then spread across the run or invoiced as its own line.
- Labor and overhead. Operator time, rent, power, software, maintenance and the hours nobody bills for.
- Margin. What is left after all of the above, and the reason the business exists.
Two shops with identical machines can land on very different prices, because the garment, the labor rate and the overhead are all theirs. That is why none of these pages publish a rate, a margin or an hourly figure. Every number in our worked examples is labeled as an example to replace.
Which embroidery pricing model should you use?
Most shops price the stitching one of three ways. They are not exclusive: plenty of shops quote per thousand stitches and keep a cost build-up in the background as a sanity check.

Is digitizing priced per stitch?
Not by us. This is the single most common mix-up in embroidery pricing, so it is worth stating plainly: what you charge your customer to sew a design and what you pay to have the design digitized are two different numbers, calculated two different ways.
You may well charge your customer per 1,000 stitches to sew the job. PlixaLabs charges a flat price per design to digitize it, set by complexity and never by stitch count, from $10. The file is a one-off cost for the whole run, so it gets cheaper per piece the more pieces you sew, while the stitching charge stays the same on every piece.
Charging per stitch for digitizing also creates a bad incentive: it rewards a padded file. A cleanly digitized design with fewer stitches sews faster, breaks less thread and looks better, and none of that should cost you more. When the file itself is the problem, a quote is not the fix. Designs that break thread, sew slowly or arrive with hundreds of unnecessary trims cost you machine time on every piece and every head.
