How do you charge for stitching?
The minimum applies to the stitching charge for each location, so a very small design is never quoted below it.
3 One-off costs & garment
The digitizing default is PlixaLabs' flat digitizing price, from $10 per design (see all prices). Change it to what you pay, add each design if the locations use different designs, or set it to 0 for a repeat order.
Set the garment cost to 0 if the customer supplies the garments. Your stitching cost (thread, backing, machine and labor time) is only used for the margin.

How to price an embroidery job

An embroidery quote is the stitching charge, plus the garment, plus a share of the one-off costs. The stitching charge comes from your chosen method and never drops below your minimum. The garment is marked up by your percentage. Digitizing and setup are paid once per job, so the calculator divides them by the quantity. This tool is for shops pricing work for their own customers; it does not set or suggest a rate.

The calculator uses this formula:

  • Stitching per location = the larger of (stitches Γ· 1,000 Γ— your rate) or your minimum; with flat pricing, the larger of your flat price or your minimum
  • Stitching per piece = stitching per location Γ— number of locations
  • Garment price = garment cost Γ— (1 + markup %)
  • Price per piece = stitching + garment price + (digitizing + setup) Γ· quantity, rounded up to the cent
  • Order total = price per piece Γ— quantity
  • Margin = order total minus garment cost, digitizing cost and your own stitching cost

Worked example (calculator output with its example settings): 24 pieces with one design of 8,000 stitches in 1 location, at an example $1.00 per 1,000 stitches with a $5.00 minimum, $10.00 digitizing, no setup fee and a garment costing $8.00, marked up 50%. Stitching comes to $8.00 per piece, the garment to $12.00 and digitizing adds $0.42 per piece. The price is $20.42 per piece, $490.08 for the order, with a margin of $288.08 (58.8%) before your own stitching costs. These inputs are examples only.

02Step by step

How to use the calculator (step by step)

  1. Enter the design and order. Type the stitch count per location, the quantity and the number of locations on each garment.
  2. Choose how you charge for stitching. Pick a price per 1,000 stitches or a flat stitching price per piece, and set a minimum per location. The defaults are example rates: change them to yours.
  3. Add one-off costs. Enter the digitizing cost for the job and any setup fee. The calculator spreads them over the quantity.
  4. Add the garment. Enter what you pay for each blank garment and your markup percentage. Leave the garment cost at 0 if the customer supplies the garments.
  5. Add your own stitching cost (optional). Enter your cost per piece for thread, backing and machine time to see a truer margin.
  6. Calculate and share. Read the price per piece, the order total, the margin and the quantity break table, then copy the link to save the quote.

Per 1,000 stitches or flat per piece?

Neither method is right for every shop. Many shops check a flat price against a per-1,000 calculation to make sure dense designs still cover their machine time. Switch the method in the calculator to compare both on the same job.

A note on digitizing. Stitch-based pricing here is what you charge your customer to sew the design. It is separate from what you pay for the file: PlixaLabs charges a flat price per design for digitizing, set by complexity and never per stitch. See the digitizing price list.

Limits and caveats

  • No industry rates. Every rate, minimum, garment cost and markup on this page is an example to replace. There is no single market rate for embroidery, and this page does not claim one.
  • Margin is only as complete as your costs. Without your own stitching cost, the margin covers the garment and digitizing only. Add thread, backing, machine time and labor for a truer figure. The thread calculator and run time calculator help you work those out.
  • One stitch count for every location. Enter the average when locations differ, or run the calculator once per location.
  • Rounding. The price per piece is rounded up to the next cent, and the order total uses that rounded price, so it matches what you would invoice.
  • No tax or shipping. Add sales tax, shipping and any rush charge of your own on top.

Embroidery pricing FAQ

Most shops use one of two methods for the stitching: a price per 1,000 stitches, or a flat price per piece for a size or stitch range. Either way, the quote usually also covers the garment, any digitizing or setup cost and a minimum per piece. This calculator lets you try both methods with your own rates.
That depends on your costs, your machines and your market, so this page does not publish a rate. The default of $1.00 per 1,000 stitches is only an example to change. Work back from your machine time, labor, thread and backing, and check it against what your customers accept.
Either charge it once as a separate line on the invoice, or spread it over the order. The calculator shows it spread over the quantity so you can see how much it adds per piece at each quantity break.
