For merchandise distributors

Promotional Merchandise Embroidery Digitising

We digitise client logos for promotional merchandise distributors, building each for the item it goes on: caps, beanies, tote bags, fleece, polos and blankets. Your account managers get a stitch preview for client sign-off within 4–8 hours. Merchandise digitizing is a flat price per design, with a VAT invoice on every order.

The merchandise problem

One client logo, a range of merchandise

A client signs off a polo mock-up, then adds beanies for a winter campaign, cotton totes for an exhibition and fleece blankets as a thank-you. The logo is the same; the way each item takes stitches is not.

We build the logo for each item and tell you which can share a file, so the client isn't paying twice. Account managers get a stitch preview for sign-off before anything reaches the embroiderer.

Printed items in the same order need vector artwork: see vector artwork for print items. Caps and beanies are covered on cap digitising.

Most merchandise disputes start at sign-off. A stitch preview shows the client what thread will look like before the order is confirmed.

Client sign-off

A preview ready for sign-off

Every file comes with a stitch preview image in the chosen thread colours. Send it to the client for approval before the embroiderer runs the job.

Working under your own brand? White-label delivery means unbranded files and previews, and we never contact your client.

Problem logos

What to agree with the client up front

  • Gradients become stepped colours, or a Coloreel gradient if the embroiderer has a Coloreel unit
  • Thin script may need a heavier weight on caps and fleece
  • Straplines often won't read on a cap or chest, so we offer a version without
  • Tiny icons are simplified so they keep their shape
  • Lots of colours may be reduced to keep the embroiderer's costs sensible

FAQs

Merchandise digitising questions

Yes, we supply files and VAT invoices to UK merchandise distributors and their embroidery partners. Account setup is on the trade page.
Yes. Every file includes a stitch preview so the client signs off the logo as it will look in thread. White-label delivery keeps previews unbranded.
Often. Caps need centre-out sequencing and fleece needs extra underlay, while a cotton tote can sometimes share the polo file. We'll tell you which items can share.
Gradients become stepped thread colours (or a Coloreel file if the embroiderer has one), and straplines too small to read are enlarged or dropped. We flag both before digitising.
No. With white-label delivery the files and previews are unbranded and we only work with you.
Standard delivery is 4–8 hours. Rush is 2–4 hours and super rush 1–2 hours, each adding 50%.
Each distinct build is one design with one flat price set by its complexity, with every machine format, unlimited revisions and a VAT invoice included. Items that share a file are charged once; see the price table on this page or the full UK price list.
